We welcome each of our speakers and want them to have the best presentation experience possible. It is important therefore, that presentations adhere to the following Audio Visual Presentation Requirements:
Deadline for Submission
Please submit your PowerPoint or Keynote presentation 2 days prior to the date you will be speaking so we can load them to the show computer. (We strongly recommend that you bring a back-up copy of your materials to the summit via a USB stick or hard drive (DVDs and CDs are not suitable). To make arrangements, please contact for Brand Innovators summits on the East Coast and for West Coast events.
If you plan on including video in your presentation, there are 3 options available:
1] Most reliable: upload your video to our DropBox or FTP site in a zip-compressed file that also contains your PowerPoint or Keynote presentation. Officially supported video containers are: MPEG-4 and MOV. (Limited support for AVI files.)
2] Create a URL link within your presentation pointing to an external video file. Please note that connection speed at venues will vary and performance and playback could be affected.
3] Embed the video in your PowerPoint or Keynote document. (Please note that if the video is not embedded properly the presentation will not run, and test thoroughly).
Please limit your video file size to less than 25 Mb to minimize problems with storage and access speed that can result in a distorted or incomplete presentation.
Please note: the presentation deck will not be situated on the stage and presentations will be controlled using a wireless presentation remote. It’s therefore important to either have embedded videos and links to play/run with a single click or, if videos are outside the presentation, clear instructions of what to play and when.
File Format & Compatibility Issues
Acceptable presentation formats include PowerPoint and Apple’s Keynote. For any other formats, please contact us 48 hours in advance of your speaking date and we will try to accommodate you.
File name: Please name your presentation using this file-naming convention: [presentation time]_[presenter’s last name]_[company] (i.e. 945_smith_dell).
Please also provide a PDF version of your presentation. We run all presentations on a Mac. Compatibility issues can arise if you are creating your presentation on a PC, using custom fonts or a version of PowerPoint other than Microsoft PowerPoint for Mac 2011 Version 14.0. A PDF will help use determine in advance if type has defaulted or shifted. The same is true for the current version of Keynote.
To avoid compatibility issues, please embed your fonts, convert them to vectors or use only compatible fonts (e.g. Arial, Courier New, Lucida Sans, Times New Roman, Verdana). You are required to use horizontal (landscape) slide format.
How to Submit Files
Presentations can be emailed to the appropriate East or West Coast contact (see above). Files too large to email can be submitted via our DropBox or FTP (contact us for FTP logon credentials). We can also download the files from your server if you provide a link (contact or to arrange). Receipt of uploads less than 48 hours prior to the conference cannot always be confirmed or reviewed. Please make every effort to submit your presentation 48 hours prior to the conference.
If you would like to confirm the proper functioning of your presentation the day of the conference, please contact the appropriate East or West Coast representative and they will put you in touch with an AV technician.
